Privacy Policy

This policy explains what personal data KGM Groceries ("we") collects when you order from kgmgroceries.com, why we collect it, and what rights you have over it.

Who is responsible

What we collect

  • Contact details - your name, email address, and phone or mobile number.
  • Delivery details - street, house number, postcode and town.
  • Order details - the products you order, amounts, delivery or pickup choice, invoices, and payment status.
  • Messages - anything you send us over WhatsApp, and our replies.

Why we use it, and on what basis

  • To accept, fulfil, deliver and invoice your order. Legal basis: performance of our contract with you.
  • To check whether your postcode falls inside our delivery area. We serve Eindhoven, Veldhoven, Geldrop, Nuenen, Best, Son en Breugel, Helmond and Waalre; outside those areas only in-store pickup is offered. Legal basis: performance of our contract.
  • To keep accounting records. Legal basis: our legal obligation under Dutch tax law.

WhatsApp messages

If you give us a mobile number, we may send you order confirmations and invoices over WhatsApp instead of, or in addition to, email. To do this we share with Meta Platforms Ireland Limited, which operates WhatsApp:

  • your mobile number, in international format;
  • your name, the order reference, the items ordered, the total, and whether the order is delivered or collected;
  • a PDF copy of your invoice, which Meta stores for up to 30 days so it can be delivered to your device.

If you reply to us on WhatsApp, your message and your WhatsApp profile name are stored in our systems so we can answer you. Meta processes these messages under its own terms - see the WhatsApp Privacy Policy. If you would rather not receive WhatsApp messages from us, tell us at [CONTACT EMAIL] and we will use email instead.

Who else receives your data

  • Meta Platforms Ireland Limited - for WhatsApp messages, as described above.
  • Our payment provider - to take payment. We never see or store your full card details.
  • Our hosting provider - which stores the website and order database on our behalf.

We do not sell your personal data, and we do not use it for advertising.

How long we keep it

Invoices and related order records are kept for [7] years to meet Dutch tax requirements. Other data, including WhatsApp conversations, is kept for [RETENTION PERIOD] and then deleted.

Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or provide it in a portable form. You can also object to our use of it. Write to [kgmtradrersnl@gmail.com] and we will respond within one month.

If you are not satisfied, you may complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
